Why Manual USB Copying Corrupts TallyPrime Active Data (And How to Fix It)

In thousands of Indian Chartered Accountant practices, manufacturing billing desks, and trading firms, the daily backup procedure remains dangerously primitive: at 7:30 PM, an office junior plugs an external USB hard disk into the billing PC or server, copies the TallyPrime\Data folder, pastes it into the USB drive, and unplugs it.

To the business owner, this looks like diligent safety. But from a systems engineering perspective, this practice routinely creates silent database corruption that only reveals itself when disaster strikes and restoration is attempted.

The "Backup Illusion" Danger

Copying database files while software is running does not copy a complete, synchronized state. It captures files in half-written transitions, leaving you with a backup file that Windows reports as "OK," but which Tally cannot open.

The Technical Cause: The "Split-Second File Locking" Problem

TallyPrime (and legacy Tally.ERP 9) relies on proprietary, multi-file relational database structures—primarily files like Company.900, Manager.900, and temporary transaction state files.

When users are actively entering receipts, invoicing sales, or modifying ledgers over the local area network:

  1. Continuous Memory Ingestion: Tally reads data into RAM and writes changes back to disk in high-speed micro-batches.
  2. Uncommitted Transactions: If an external copy script reads Company.900 at millisecond 01, but an accountant commits a ledger entry at millisecond 02, the transaction index file gets copied out of sync with the master header.
  3. Header Checksum Mismatch: When you attempt to load that copied data on another PC during an emergency, Tally throws fatal errors: "File Corrupted - Rewrite Company Data" or "Out of Memory / Unexpected File Format".

Manual USB Backup vs. Automated VSS Snapshots

To protect active financial databases without requiring all staff to close Tally and log off, enterprise operating systems use Volume Shadow Copy Service (VSS).

Feature / Risk Manual USB Copy Vembu BDRShield (VSS Snapshot)
Open File State Inconsistent / Corrupted headers 100% Application-Consistent Snapshot
Staff Interruption Staff must stop work and close Tally Zero interruption; runs silently live
Ransomware Exposure High: Ransomware encrypts connected USBs Immutable / Air-gapped cloud repositories
Human Neglect Staff regularly forget to plug in drive Automated scheduled cron/engine execution
Restore Verification Untested until disaster strikes Automated boot & restore integrity checks

How Volume Shadow Copy (VSS) Solves the Problem

At AAKAR COMPUTERS, our business continuity architecture is powered by Vembu BDRShield. When an automated backup runs:

The Cost of Inaction During Tax Filing Periods

A mechanical drive failure or corrupted backup file during standard business weeks is an inconvenience. The same failure 48 hours before an ITR, GST, or MCA audit deadline can lead to permanent client loss, statutory non-compliance penalties, and professional reputation damage.

Investing in enterprise protection does not require large corporate budgets:
